Job Description

: Responsible for all functions of patient registration, including but not limited to obtaining accurate billing and demographic information via telephone to pre-register patients, and face to face registrations. Inform patients of their estimated financial responsibility and attempt collection of amounts due while maintain exceptional customer service skills. Assist with scheduling or rescheduling of Cancer Center clinic patients when needed.




  1. ___ Interviews Patient/Patient representative via telephone to obtain Patient/Guarantor

             information such as patient’s name, address, age, telephone, occupation, emergency

             contact, attending Physician and attempts co-payment amount prior to service date.


  1. ___ Purposely connects with customers to reflect respect, politeness, concern,

            and tact by using interpersonal skills, which include a positive attitude at all



  1. ___ Distributes patient files to appropriate departments, validating pre-registration is

complete.  Contacts departments regarding any changes in schedules.


4.___   Ensures that the physician order obtains patient name, patient date of birth, physician

            name, physician signature, diagnosis, and procedure to be completed.


5.___   Prepares registration materials to include identification bracelet, standard forms/records

            assembling of patient chart prior to patients arrival so that the patient can be processed

            quickly and efficiently.


6.___   Is proficient in using STAR and Standing Stone.  Has knowledge of PHS and Medessary to assist

             with scheduling when needed.


7.___   Assures that compliance rules and regulations are met by completing the Medicare

             Secondary Payor (MSP) form in its entirety, that the Patient Bill of Rights and HIPAA

             Privacy Policies are given to all patients and any other government mandated forms

            are completed appropriately.


8.___   Ensures that time at work is used effectively to consistently complete assigned work

            during the shift. The employee will ensure patient information is entered correctly before charge

 is allowed to post.  Documents clear and concise account activity using the credit note function of STAR

 financial system.


9.___   Performs cashier duties which involve collecting point of service payments at

the point of registration. This includes writing receipts, placing payments

in payment envelopes, and dropping payments in the drop safe to be collected by the

Manager on a daily basis.



10.__   Demonstrates age appropriate competency skills and knowledge, displays ability to

            perform skills specific to patient population identified in unit specific skill list:

  1. “The associate will hold in confidence any and all patient information communicated or

             stored using any medium including oral communication.  In addition, the associate will

seek to protect patient information from inadvertent use or disclosure by adhering to hospital

 and Triad Blue Book policies.”


  1.  Explains hospital policies/regulations pertaining to pertinent patient information as





  1. Assures protection and privacy of health information as attained through written

electronic or oral disclosure.


  1.  Provides assistance to the Insurance Verification, Central Scheduling, Registration,

Information Desk, and may perform CBX duties providing appropriate training has

been obtained.


  1. Contributes to Performance Improvement activities at Kosciusko Community Hospital.


  1.  Displays patience and tact in dealing with patients, physicians and their staff, and

all hospital personnel. Monitors patients in waiting room to ensure smooth patient

flow and good will.


  1. May assist with transporting patients using appropriate technique if required, providing

            appropriate training has been obtained.    


  1.  Operates multiple-line telephone in order to answer, transfer and relay incoming

           telephone calls and place outgoing local and long distance calls.


  1. Performs other duties as assigned.




  1. Continually evaluates procedures and submits recommendations for system



  1. Attends in-service programs, and departmental meetings as required.



Education and formal training required:


Recommended high school diploma or equivalent.  Medical terminology required within one year.



Prior direct customer service experience required.


Minimum of one-year experience in a clerical/accounting position preferably in a healthcare

related environment, or an insurance company.


Previous Hospital Registration experience helpful.








Must be able to type 35 – 40 wpm in order to use CRT/terminal and to timely
